This policy explains, in plain language, what information Cadence collects, how we use it, and the choices families have. Cadence is built for parents and guardians to plan learning and keep records for the students in their household, so much of the information in Cadence is entered by a parent about their own children.

01Who Cadence is

Cadence is a homeschool planning and recordkeeping product operated by Sovereign Systems (“Cadence,” “we,” “us,” or “our”). This policy explains what information we collect, how we use it, and the choices you have. It applies to the Cadence website and application.

02Information families provide

Cadence collects the information you choose to give us, which may include:

  • Account details, such as your name, email address, and password.
  • Household and profile details you add to set up your account.
  • Content you create in the product, such as plans, lessons, schedules, notes, activity logs, records, and files or attachments you upload.
  • Messages you send to our team, including support requests and feedback.
  • Billing details, if and when paid plans are offered. Payment information is handled by our payment processor, Stripe, rather than stored by us.

Cadence is used by parents and guardians. The account holder decides what information to enter and can review or remove it at any time.


03Student and child information

Cadence is designed for a parent or guardian, the account holder, to plan learning and keep records for the students in their household. Information about students is entered by the account holder, not by the students themselves.

Information a parent may enter about a student includes:

  • Student first name or nickname, and age or grade level.
  • Subjects, lessons, schedules, and attendance.
  • Notes, activity logs, work samples, and photos or attachments the parent adds.

Parents and guardians control the account and every student profile within it. They can view, edit, export, or delete student information at any time. Students do not have their own logins and do not access the product directly.


04How information is used

We use the information described above to:

  • Provide, operate, and maintain Cadence.
  • Save and display your plans, records, and uploads.
  • Authenticate you and keep your account secure.
  • Respond to your questions and provide support.
  • Understand and improve how the product works.
  • Send service messages, and marketing messages only where you have a choice.
  • Process billing for any paid features.
  • Detect, prevent, and address fraud, abuse, or security issues.
  • Meet legal obligations that apply to us.

05How information is shared

We share personal information only in the following situations:

  • With service providers that help us operate the product, such as our payment processor, Stripe, and that may process information only to perform services for us.
  • When required by law, legal process, or a valid government request.
  • To protect the rights, property, or safety of families, the public, or Cadence.
  • In connection with a merger, acquisition, or sale of assets, subject to this policy.
  • With your direction or consent.

We do not sell your personal information, and we do not share it for targeted advertising.


06Cookies and analytics

Cadence uses cookies and similar technologies for essential functionality, such as keeping you signed in. We do not use third-party analytics providers, and we do not use cookies to track you across other websites or to serve advertising.

You can control or clear cookies through your browser settings.


07Data security

We use reasonable administrative, technical, and physical safeguards intended to protect the information in Cadence from loss, misuse, and unauthorized access.

No method of transmission over the internet or method of electronic storage is completely secure, so we cannot guarantee absolute security.


08Data retention

We keep personal information for as long as your account is active or as needed to provide the service to you.

When you delete content or close your account, we retain the associated information for 30 days and then delete or de-identify it, except where we are required to retain it to meet legal, accounting, or security obligations.


09Parent and account-holder rights

As the account holder, you control your account and the student profiles within it. Depending on where you live, you may be able to:

  • Access the information we hold about you and your household.
  • Correct information that is inaccurate.
  • Export a copy of your content.
  • Delete content or your account.
  • Opt out of marketing communications.

We respond to rights requests within 3 to 5 days. The specific rights available to you depend on where you live; see State privacy rights below.


10Access, correction, export, and deletion

You can review and update much of your information directly in the product. To request access, correction, export, or deletion of information we hold, contact us at privacy@recordcadence.com.

We will take reasonable steps to verify your request and respond within 3 to 5 days. If you ask us to delete your account, we will remove your content as described in Data retention.


11Children’s privacy

Cadence is intended for use by adults on behalf of the students in their household. We do not knowingly allow children to create their own accounts, and information about a student is provided and controlled by a parent or guardian. We do not use student information to serve advertising.

We do not knowingly collect personal information directly from children. The information in a student profile is entered by the parent or guardian who created it, and that adult can review, edit, or delete it at any time.

If you believe a child has provided information to us directly without a parent’s involvement, contact us at privacy@recordcadence.com and we will address it.


12State privacy rights

Depending on where you live, you may have additional rights over your personal information. Cadence is based in Texas. If you are a Texas resident, you may have the right to confirm whether we process your personal data and to access it, to correct inaccuracies, to delete it, to obtain a portable copy, and to opt out of any sale of personal data or of targeted advertising. If we decline a request, you may appeal that decision.

To exercise any of these rights, contact us at privacy@recordcadence.com, and we will respond within 3 to 5 days. To appeal a decision, reply to our response with the reason for your appeal. Texas residents who have concerns about the outcome of an appeal may contact the Office of the Texas Attorney General.


13International users

Cadence is operated from the United States and is intended for use by families in the United States. If you access it from another location, your information will be processed in the United States, where data-protection laws may differ from those where you live.


14Changes to this policy

We may update this policy as the product and our practices change. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice.
